Materials and purchasing
Materials management in JobTracker is planning, ordering and delivery tracking for construction and home-services jobs. You plan a bill of materials for each phase, turn it into an order with current supplier pricing, and track every delivery against the phase it feeds. Only supplier invoices post to job cost, so the job's live profit reflects what you actually paid.
Every screen in English and Spanish · Works on phone, tablet and desktop · Plans start at $495 a month
The problem
Sound familiar?
Materials get ordered from a text, a sticky note or a PM's memory. Two people order the same thing, or nobody does. The supplier quote is from last spring. The delivery date lives in one person's inbox, so the crew shows up to a slab with no lumber on it and the day is lost. Then someone makes a run to the supply house at full retail.
Then the invoice arrives higher than the estimate, and nobody notices until the job closes. You're paying a crew to wait and paying a supplier more than you planned. Materials are one of the biggest checks you write. They deserve better than a group text and a hope that someone remembered.
Where it costs you today:
the same order placed twice because two PMs both remembered it
a crew paid to wait on a late delivery nobody saw coming
estimates built on supplier prices that went up months ago
What it does
Run the work
PMs request materials to a company-wide board, the materials manager is alerted, and each item moves through your own stages to on-site. Nothing ordered twice, nothing forgotten.
Build a planned bill of materials for each phase and subphase with estimated costs and a budget. "Generate order" turns the plan into a real order when it's time to buy.
A product database with supplier pricing, CSV price-list import and warnings when a price is getting old. Every order and line carries its supplier and purchase link, with a printable order.
Every expected delivery is sorted Past due, Today, Next 7 days and Later. Schedule a delivery window and the customer is told by portal, email and text.
Catalog prices stay estimates. Supplier invoices post to the job with variance, received quantities and shrinkage reporting, after the PM approves the bill. Job cost matches what you paid.
Track shop stock in groups. Consumables auto-cost to the jobs that use them and warn you before you run out, so small materials stop leaking profit. Screws, caulk and gloves stop vanishing into overhead.
With JobTracker
What changes
Your PM requests drywall for the next phase from the job site. The materials manager gets the alert and works it to ordered, with the purchase link on the line.
Monday's delivery list shows one order past due. You call the supplier before the crew is scheduled, not after they arrive.
The customer gets a text with Thursday's delivery window, so the driveway is clear when the truck pulls in, and nobody calls the office to ask.
The supplier invoice comes in higher than the estimate. The variance shows on the job, and the PM sees it before approving the bill.
If nothing changes
Every late delivery costs a crew day, and every unchecked invoice costs margin. Without a system, both keep happening quietly, and you only see the damage when the job is done. A board that shows every order by phase and date catches both early.

FAQ
Straight answers
Can I import my supplier's price list?
Yes. Import supplier price lists by CSV into the product database. Prices carry their age, and JobTracker warns you when one is getting old, so estimates stay built on current numbers. Suppliers live in a directory with contacts, tags and notes.
Can customers approve material selections?
Yes. Turn any planned material line into a customer approval in their portal. Approved products come back to Materials after a quick quantity and cost review, so the order matches what they picked.
Do customers see my material prices?
No. The portal shows upcoming delivery days and windows, never prices or suppliers. Customers know when the lumber is coming without seeing what you paid for it. You control what they see.
How do materials affect job profit?
Only real supplier invoices post to job cost. Catalog prices are estimates for planning, while invoices post the actual cost with variance, received quantities and shrinkage, so the job's live profit matches what you paid.
Will the schedule warn me if materials aren't there?
Yes. The booking form shows what hasn't arrived for a phase, and late deliveries are drawn on the Plan Gantt against the phase they block. You book ahead knowing what's missing, instead of sending a crew to a phase whose materials are still on a truck.
What happens to orders when a phase is done?
They close out when the phase completes. The board stays clean for active work, and the job keeps its full materials record for later reference. Nothing lingers on the board after the work is done.
