Customer portal

A customer portal for contractors that stops the "where are we?" calls

The customer portal in JobTracker is a branded login where each of your customers follows their own project. It shows a live phase-by-phase tracker, the photos you choose to share, upcoming visits and who's coming, approvals, messages and invoices they can pay by card. It's connected to the job, so it updates as your crew works, in English or Spanish.

Every screen in English and Spanish · Works on phone, tablet and desktop · Plans start at $495 a month

The problem

Sound familiar?

Why does your office spend all day answering "when?"

Customers don't know what's happening, so they call. When is the crew coming? Did the tile get picked? Do I need to be home? Your office answers the same questions all day, digs through texts for a photo, and resends an invoice that went to an old email. Every call pulls someone away from the work.

A customer who's in the dark starts to worry, and a worried customer starts to doubt you. Silence feels like neglect, even when the job is right on schedule. Great work deserves to be seen while it's happening. You shouldn't lose a referral because nobody had time to send an update. The work should speak for itself, even on the days nobody calls.

Where it costs you today:

the office stopping work to answer the same status call again

a trip wasted because the customer didn't know to be home

a selection decided over text that nobody can find later

What it does

Get paid and pay people

What does the customer portal in JobTracker do?

A live project tracker

A pizza-tracker style timeline of every phase with progress and dates, plus the photos you choose to share under each phase. A "Since your last visit" summary shows what's new, so customers check progress without calling.

Approvals and choices in writing

Send proofs, designs and "this or that" options with photos and optional prices. Customers approve, pick or send back notes, with version history, so decisions never get lost in texts.

Who's coming, and when

Customers see upcoming visits, photos of the crew, and whether they need to be home. They confirm with one tap or ask for another time, then watch the truck approach on the On My Way map.

One conversation per job

Portal messages and the texts, emails and calls sent through your GoHighLevel number land in one thread on the job. Photos customers text in show up there and save to the job.

Invoices they can pay online

Invoices and progress draws appear in the portal, and customers pay by card through Stripe. The money goes to your own account, and you get an alert when it lands.

English or Spanish, per customer

The portal, emails and texts follow each customer's language. A Spanish-speaking homeowner reads their updates, approvals and invoices in Spanish without anyone on your team translating.

With JobTracker

What changes

What changes when customers can see their own project?

A homeowner opens the portal and a "Since your last visit" summary pops up with new photos of the finished framing.

The customer picks the better tile option in the portal. Once you confirm it, the choice lands on the job's materials list with no retyping.

The night before, a branded reminder goes out. The customer taps confirm, and the next morning watches the truck arrive on the map.

Your office phone gets quieter. When a customer does reach out, the whole history is already on the job's Messages tab.

If nothing changes

Every unanswered "when?" chips away at trust, and trust is what turns one job into a referral. Without a portal, keeping customers informed depends on whoever has time that day.

FAQ

Straight answers

Questions about customer portal.

Is the portal branded with my company?

Yes. The portal carries your company's branding, and emails go out under your business name with your own reply-to address. Customers see you, not a software company. Your logo, name and colors are on every screen they open.

What if a customer says they never got the portal link?

It's easy to fix. You can copy their portal link, see a log of every invite sent, change the sign-in email, and spot when the job and customer emails don't match. Customers reset their own passwords too, and one login covers every business that uses JobTracker.

Can I control which photos customers see?

Yes. You choose which photos to share, and they appear under the phase they belong to. Delivery notices show days and windows, never prices or suppliers, so customers see progress, not your costs.

Can subcontractors talk to my customers through the portal?

Only if you allow it. Phase by phase, you choose whether a sub can send the customer approvals and messages. Customer replies go back to the sub with the whole thread. You stay in control of what reaches your customer.

Does it work with GoHighLevel?

Yes. Texts, emails and calls go through your own GoHighLevel number and email, and they appear in the same job thread as portal messages, with a shared Inbox for the whole team. Nothing a customer sends gets lost in someone's personal phone.

Can I see what my customer sees?

Yes. "View as customer" lets your staff preview exactly what the customer sees in their portal, so there are no surprises on either side of the screen. Check it before you send the link to a new customer.
