Invoicing and payments
Invoicing in JobTracker is billing and payment collection built for contractors. You send invoices straight from the job, bill in progress draws tied to phases, and customers pay by card through Stripe on a branded page or inside their customer portal. Reminders and late fees run on their own, and the money goes to your own account.
Every screen in English and Spanish · Works on phone, tablet and desktop · Plans start at $495 a month
The problem
Sound familiar?
The job is done, but the invoice isn't. Someone has to rebuild it from notes, figure out which draw is due, email a PDF and wait. Then the follow-up starts: a text, a call, a reminder you meant to send last week. Checks show up late, and nobody's sure which invoice they cover. Some never get sent at all.
Meanwhile payroll is due Friday and supplier bills don't wait. You float the job on your own cash and feel like a collections agency instead of a builder. You earned that money. Asking for it twice shouldn't be part of the job, and it shouldn't depend on who in the office remembers. Getting paid should run as smoothly as the job did.
Where it costs you today:
a progress draw that never got billed when the phase finished
overdue invoices that nobody followed up on for weeks
customers who would pay today by card but can only mail a check
What it does
Get paid and pay people
Create an invoice from a job, a customer or the Invoices tab, with catalog line items, per-line tax and discounts, tips, notes and terms. Turn an estimate into an invoice in one click.
Customers pay by card on a branded payment page, and the money goes straight to your own account. Cash, check and bank payments are recorded in the same place.
Set a draw schedule per job by percent or fixed amount, tied to stages or phases, so you bill on time and cash keeps pace with the work.
Automatic reminders, late fees and overdue tracking follow up for you, and the owner gets an alert when a payment lands. Weekly or monthly service can bill itself with recurring invoices.
Customers see their invoices in their own portal under your brand, next to their project tracker, and pay online without hunting for an old email.
Supplier and subcontractor bills go to the job's PM for approval, then into one payables queue with a pay link on every bill. Money in and money out, side by side.
With JobTracker
What changes
The roof deck is finished, the draw tied to that phase is due, and the invoice goes out the same afternoon instead of at the end of the month.
A homeowner opens the portal after dinner, looks at the latest photos and pays the invoice by card from the couch, with the money headed to your account.
An invoice goes overdue. The reminder and late fee go out on schedule, and nobody in the office has to make the awkward call.
You get an alert that a payment landed, and the job's cash collected updates against what you've spent so far.
If nothing changes
Every week an invoice sits unsent or unpaid, you're financing your customer's project with your own money. Slow billing doesn't just squeeze cash flow, it limits how much work you can take on.

FAQ
Straight answers
Can customers pay by credit card?
Yes. Customers pay by card through Stripe on a branded payment page or from their customer portal, and the money goes to your own account. You can also record cash, check and bank payments by hand. Owners get an alert when a payment comes in.
Can I pass the card processing fee to the customer?
Yes, where your state allows it. Processing-fee pass-through is an optional setting, so you choose whether the customer covers the card fee or you absorb it. Card payments still go straight to your own account.
Does it handle progress billing and draws?
Yes. Each job can have a payment schedule by percent or fixed amount, tied to stages or phases. Large jobs get billed in steps instead of one big invoice at the end. When a draw is billed, the customer can pay that invoice online by card.
Can I set up recurring invoices for maintenance customers?
Yes. Recurring invoices bill weekly or monthly service automatically, which fits pool, cleaning, landscaping and maintenance contracts. Reminders and late fees apply to them the same way. You set it up once, and the invoices keep going out without anyone in the office touching them.
Do invoices go out in Spanish?
Yes, for customers who prefer it. Customer emails, texts and hosted pages follow each person's language, so a Spanish-speaking customer gets their invoice and payment page in Spanish. Your office doesn't have to write a second version.
Does it connect to QuickBooks?
Yes. Revenue can post to QuickBooks Online if you choose, along with job costs, and Wave is supported too. You stop typing the same invoice into two systems.
