Equipment tracking

Equipment tracking software that charges every machine hour to the right job

Equipment tracking in JobTracker is an asset register that ties every machine to the jobs it works on. Each asset gets a QR logbook, hour-meter maintenance, a service history and usage alerts. Equipment time on site posts to the job automatically, so its cost shows up in that job's live profit instead of disappearing into overhead.

The problem

Sound familiar?

Which job paid for that machine this month?

Usually none of them. The skid steer sat on one site for a week, moved to another, and nobody wrote it down, so it never made it onto either job's cost. Meanwhile the generator is idle at a finished site, and the mower is overdue for service because its hours live on a meter nobody reads.

Equipment you can't track becomes overhead you can't price. Your bids look profitable, but the machine time that earned them was never counted. And when a unit breaks down mid-job, it isn't just a repair bill. It's a crew standing around while you hunt for a rental on short notice, and a schedule that slides for every job behind it.

Where it costs you today:

machine hours on site that never post to the job's cost

equipment sitting idle at a finished site while you rent another one

service skipped because the hour meter only lives on the machine

What it does

Run the field

What does equipment tracking in JobTracker do?

Equipment cost posts to the job

Equipment time on a job site posts to that job automatically. You can also set an asset's cost to follow its assigned person, posting only while they're clocked into that job.

Scan to start and stop

Scan an asset's QR code to start logging its time on a job, and scan again to stop. Equipment hours get billed to the right job without anyone filling out a sheet.

Maintenance by hours, not guesswork

Hour meters track run time, and maintenance comes due by hours, miles or days with alerts. Pre-use and scheduled checklists record the hour-meter reading and who filled them out.

Problems reported before breakdowns

Anyone working the machine can scan its QR and file an issue report, and the maintenance manager is alerted. Small problems get fixed before they shut down a job.

Alerts for idle or wandering equipment

Usage alerts flag idle equipment, after-hours use, daily hour limits and an asset leaving the site. You find the machine sitting unused, or the one that walked off overnight.

A service history that pays off

The service log keeps repairs, parts, vendors and invoices, with spending tied to each asset. The year-end report shows hours and service costs per asset, so you see which equipment earns its keep.

With JobTracker

What changes

What changes when every machine has its own logbook?

The operator scans the mini excavator's QR when he starts digging. Its hours log to that job, and he scans again when he shuts it down for the day.

You open the job's Financials tab and see equipment cost right alongside labor and materials, so the live profit number reflects what the job really used.

A usage alert shows the plate compactor has sat idle at a finished site all week. You move it to the next job instead of renting another one.

An operator notes a hydraulic leak on the pre-use checklist. The maintenance manager is alerted, and the repair goes into the service log with its parts and invoice.

If nothing changes

Every machine hour that never reaches a job is profit you priced in and never collected. Over a season, that's the difference between thinking a job made money and knowing it did, down to the equipment it used.

FAQ

Straight answers

Questions about equipment tracking.

Do I need a GPS tracker on every machine?

No. Equipment can be tracked by a hardware GPS tracker, the phone app or a manual pin. QR scans, hour meters and checklists work on their own, so smaller equipment can be logged by scan alone.

How does equipment cost get onto a job?

Automatically. Time on site posts to the job, or the crew scans the QR to start and stop. For assigned equipment, you can choose to post cost only while the assigned person is clocked into that job.

Can I track small tools as well as heavy equipment?

Yes. Any asset you add to the register gets its own asset type, QR label and history, and you choose which assets get printed labels. Track what's worth tracking, like the compactor or the trencher, and skip the rest.

Will it remind me when service is due?

Yes. Maintenance comes due by hours, miles or days, with due alerts. When service is logged with its parts and invoices, the next-service reminder is set automatically, so nothing depends on a sticker.

Does the equipment map track my operators too?

Only while they're clocked in and have opted in. The live map shows equipment, vehicles and clocked-in people, and people's location history stays admin-only. Machines are tracked, your operators' personal time is not.

What does it cost?

Plans start at $495 a month, with a discount when you pay yearly. In a demo you'll see how a machine's hours move from a QR scan into that job's live profit, and which plan fits.
